What you get
- Triggers — the events that can start a campaign:
- A job reaches a lead status you pick — your statuses load live from your account, so you see your own names. You can also scope the trigger to a region.
- Job approved (sold) — nothing to configure.
- Revenue tracking — revenue books when a job is approved. The setup wizard says: “Revenue books when a job is approved.” The amount is summed from the job’s approved estimates.
- Lead delivery — when someone scans your postcard and fills in the landing page form, Mailr creates a job in RoofLink and creates the customer automatically. Extra answers from the form go into the job note as “Lead from Mailr …”.
Connect RoofLink
Only the workspace Owner can connect a CRM. See Team & roles.1
In Mailr, open Automations
Go to Campaigns → Automations in the Mailr app and find RoofLink under CRM Connection. Clicking a tile only opens its panel — nothing connects until you press the Connect button inside.

Create your RoofLink API key
In RoofLink, go to Company Settings → API Keys and create a key. RoofLink keys don’t expire until you disable them.

Paste the key into Mailr
Press Connect RoofLink and paste the key. The dialog reads: “In RoofLink, go to Company Settings → API Keys, create a key, and paste it here. We check it against your account before saving.” Mailr validates the key against your account before saving, so a bad key never sticks.

Finish the 3-step wizard
The setup wizard opens on its own: Leads → Job address → Tracking. Job addresses come straight from RoofLink; use Review setup any time to adjust where lead details land.
The RoofLink tile now reads Connected, and the panel summarizes what’s live: “Working out of the box: Mailr leads sync into RoofLink as jobs (customer auto-created; stamped with the ‘Mailr’ lead source when you’ve made one), new-lead attribution and job-approved revenue tracking are on, and campaigns fire when jobs reach lead statuses you pick on each automation.”
How syncing works
RoofLink is checked hourly. The in-app line reads: “Checked hourly — the postcard mails around the job’s address.” Hourly means a campaign can be queued up to an hour after the event. automated campaigns use a design you’ve already approved and are reviewed by Mailr before anything mails.The clock starts the moment you connect. Jobs that reached their status before you connected never trigger a campaign. To test it, move a fresh job after connecting.
Disconnect or reconnect
Disconnecting stops lead sync and campaign triggers and deletes Mailr’s copy of your key. Your settings are kept, so reconnecting later picks up where you left off, and campaign history, leads and results are never deleted. Mailr can’t revoke the key inside RoofLink — disable it in Company Settings → API Keys too if you want it fully dead.Notes & limits
- Mailr can’t create a “Mailr” lead source for you in RoofLink. Create one yourself if you want delivered leads labelled. Nothing else depends on it — Mailr still knows which records it created and never mails their neighborhoods again.
- Trigger filters don’t offer a job amount or total. RoofLink’s job list doesn’t carry a reliable one, so a filter on it would never match.
- Importing past work for a reactivation campaign pulls jobs in a lead status you pick (optionally by region), or your customers.
