What you get
- Triggers — the events that can start a campaign:
- Project created
- Project moves to a stage
- Project won
- Project completed
- Quote sent
- Quote approved
- Invoice sent
- Invoice paid
- Revenue tracking — revenue books when a quote is approved. The setup wizard says: “Revenue books when a quote is approved.”
- Lead delivery — leads from your postcard landing pages are pushed into ProLine through its Web Leads feature. ProLine’s Web Leads has no lead-source field, so Mailr marks each one with a “Lead from Mailr” line in the project notes.
Connect ProLine
No API key is needed. In the connect dialog the API key field is optional — its placeholder reads “Have it handy? Paste it to save for later.” Connect without one and you go straight to the webhook setup wizard. Triggers, revenue tracking and lead delivery all work this way. If you do paste a key later, you never have to reconnect.
1
In Mailr, open Automations
Go to Campaigns → Automations in the Mailr app and find ProLine under CRM Connection. Press Connect ProLine. You can leave the API key field empty.
2
Turn on webhooks in ProLine
Mailr shows a webhook URL with a copy button. Paste it into ProLine → Integrations → API → Webhooks, then enable “Project Created or Updated”, “Quote Sent or Approved” and “Invoice Sent or Approved”. The wizard’s guidance: “we recommend all three, no stage filter. This is how campaign triggers and revenue tracking fire the instant something changes.”
3
Add your Web Leads URL
Generate the URL in ProLine → Integrations → Web Leads and paste it into the wizard’s Leads step. Until you do, the panel shows “Finish lead delivery: add the Web Leads URL from ProLine → Integrations → Web Leads so new leads land in ProLine.”
4
Finish the wizard
Work through Leads → Job address → Tracking to confirm where lead details land, which address Mailr mails around, and how long a new customer at a mailed home counts as a campaign result.
The ProLine tile reads Connected, and the panel confirms “Lead delivery is on — your ProLine Web Leads URL is saved.”
How syncing works
ProLine fires instantly from ProLine events. The in-app cadence line reads: “Fires instantly from ProLine events (keep instant sync enabled in ProLine).” Automated campaigns use a design you’ve already approved and are reviewed by Mailr before anything mails. The clock starts the moment you connect. Projects and quotes that closed before you connected never trigger a campaign. To test it, move a fresh project after connecting.
Disconnect or reconnect
Disconnecting stops lead sync and campaign triggers and deletes the stored credentials. Your settings are kept, so reconnecting later picks up where you left off, and campaign history, leads and results are never deleted. Mailr can’t remove the webhook inside ProLine for you — delete it yourself in ProLine → Integrations → API → Webhooks if you don’t plan to reconnect.Notes & limits
- Importing past work starts empty. Mailr only knows about projects ProLine has told it about through webhooks, so a brand-new connection has nothing to import for a reactivation campaign. It fills up as work happens.
- Delivered leads are identified by the “Lead from Mailr” note on the project, not by a lead source.
